Your own mail account

E-mails with a voice card are always sent by your own mailbox – either by pasting, or Speeeak hands them straight to your mailbox (Plus). Here is how to set that up.

Everything you send to others from within Speeeak – voice card e-mails, voice replies to visitors of your widget – goes through your own mail account. Speeeak never sends in your name from its own addresses. There are two reasons: your recipients see you as the sender, and nobody can misuse other people's addresses.

Picture it like this: Speeeak writes the letter and sticks the voice card on it – you put it in the postbox yourself, with your own sender address.

Set up in three minutes

  1. Account → Account → E-mail sending → “Set up e-mail sending”.
  2. Choose a provider. Server, port and encryption are prefilled; for “Own mailbox” you enter them yourself.
  3. Enter username and password/key, check sender name and sender address.
  4. “Save and send test e-mail” – Speeeak immediately sends a test e-mail to your account address. If it arrives, sending is active.

Speeeak only hands anything over after a successful test e-mail. If the connection fails, you see the server's error message directly on the page.

Which credentials you need

Provider Server · port User / password
Own mailbox (IONOS, STRATO, ALL-INKL, Hetzner …) listed by your provider under “SMTP” or “Set up e-mail program”, usually port 587 full e-mail address / mailbox password
Google Workspace / Gmail smtp.gmail.com · 587 your address / app password (Google account → Security → App passwords)
Microsoft 365 / Outlook smtp.office365.com · 587 your address / password or app password; “SMTP AUTH” must be allowed in the account
Brevo smtp-relay.brevo.com · 587 login e-mail / SMTP key (Brevo → SMTP & API)
Postmark smtp.postmarkapp.com · 587 server API token as user and password
Amazon SES email-smtp.eu-central-1.amazonaws.com · 587 SMTP credentials from the SES console (not the regular AWS keys)
Mailgun smtp.eu.mailgun.org · 587 postmaster@your-domain / SMTP password
Resend smtp.resend.com · 465 “resend” / API key

The templates are built into the form – you choose the provider, the rest is filled in.

Sender address and deliverability

  • The sender address must match your account (for mailboxes: the mailbox address; for services: an address or domain verified there). Otherwise the server rejects the mail or it ends up in spam.
  • With mail services it is worth setting up SPF/DKIM for your domain – the service shows you the required DNS records.
  • Speeeak keeps to 50 e-mails per day and account; your provider's limits apply in addition.

Security

  • The password is stored encrypted and used only for sending. Nobody – not even the Speeeak admin area – sees it in plain text.
  • You can remove the account at any time (Account → E-mail sending). After that Speeeak hands nothing over for you any more; “Paste into my e-mail” and “Open e-mail” keep working.
  • For services we recommend a separate key just for Speeeak, which you can revoke in the service at any time.

What does not go through it

Speeeak's own system e-mails to you – order confirmation, invoice, password link, notification of new widget messages – still come from Speeeak. They go only to you, never to third parties.
